International Internship

All GA course students must undertake an “International Internship” in an overseas research institute, a university or a company for a period of between 3 to 6 weeks from the third to the fifth school year.

Firstly, students are requested to apply for internship programs financially supported by public or private sectors. For details, please see “Remarks” at the bottom of this page. (TOBITATE, JSPS program, etc. )

If external funding cannot be acquired, GA will provide up to 500,000 JPY (FY2017 budget) which includes visa application fees, travel costs, accommodation fees and daily allowance. The student should decide the location and the term of the visit based upon this financial limitation.

As a rule, international students are required to select a destination other than their home nation. In addition a university from which the student has graduated (alma mater) is also not acceptable. If under exceptional circumstances the student would like to select their alma mater, a written statement giving the reasons must be submitted by their KU research supervisor beforehand. The statement needs to be approved by the GA academic affairs committee.

This internship aims that students experience practical training in research and development in foreign institutes. The module is allocated 2 credits and is compulsory for the degree.

 

Flow of the “International School”

  • The student consults with their KU research supervisor to decide a research institute, a university or a company for the international internship.
  • 3 months prior to the start date, the student must complete an “international internship plan ” with details of the host institute, period and activities involved and submit it to the GA office by email. (greenasia[at]ga.kyushu-u.ac.jp)
    Upon approval of the GA academic affairs committee, the student can commence the internship according to their plan.
  • Travel Procedure (for details, please see documents required) Submit to the GA office the necessary documents such as “application for business trip”, “schedule (calendar)“, “estimate of accommodation fees”, “A copy of the E-ticket” , “receipt of flight ticket”if your internship is financially supported by GA.
  • Completion Procedure (for details, please see documents required) Within 1 week, submit a “business trip report ”and the “boarding passes.” Within 1 month, submit 3 “internship check sheets from the student, the overseas supervisor and the KU research supervisor (use the right side of “international internship plan”). → E-mail to: greenasia[at]ga.kyushu-u.ac.jp
  • The student is required to make a presentation detailing the research activities after the event.

 

Remarks

✔ The student can decide the start date of the international internship at their own discretion, however, the summer or winter break season of the third year is recommended because of no regularly scheduled classes.

✔ If a visa is required, please follow instructions by the host institute and apply for it as soon as possible. In some cases, it may take several months to obtain.

✔ All students are strongly recommended to apply for external scholarships such as:

✔ Prepare all documents for the travel procedure at least 2 months before the start date for payment in advance. Please note that in the case of late submission, students cannot receive expenses in advance of their trip.

✔ Be sure to take out accident insurance (Gakken-bai) and medical insurance during your travel. As for Gakken-bai, you can apply for it at the student affairs section.

✔ If a host institute is willing to cover the additional cost, it is possible to extend the period. In that case, please contact the GA office in advance.

If a host institute gives a stipend, a salary or a daily allowance to you, GA financial allowance is adjusted (reduced) based on the amount you will receive. Please give advance notice to the GA office, if applicable.

✔ If your KU research supervisor is willing to cover the cost, it is also possible to do the internship. However, it is necessary to plan separately from GA budget because GA budget cannot be used with any other funds. On this matter, please ask GA office in advance.
